Privacy policy

Smart Campus App is operated by EXTKO TECH SERVICES. This policy covers the parent mobile app and its private SmartCampus login.

Information used by the app

We use your sign-in email address or mobile number, a hashed password, verified links to school parent accounts, login sessions and device push-registration information. Your school provides linked-child and enrollment details, attendance, homework, announcements, learning files, fee records and request responses according to its enabled services.

Information and attachments you submit through school request forms are sent to the selected school. School account passwords are used to verify a connection; the private SmartCampus password is not copied to a school account. Downloaded files may be stored on your device and opened in another application.

Purpose and access

This information is used to authenticate you, connect verified school accounts, display authorized school services, handle requests and deliver school updates. Your private list of connected schools is not provided to other schools. Each school manages its own records and cannot use the app to access another school's records.

Service providers and permissions

Our hosting providers process data to operate the service. Google Firebase Cloud Messaging and Apple Push Notification service deliver optional phone alerts using device tokens. Push messages contain a category and an opaque notification identifier; authorized details are retrieved after opening the app. You can change notification permission in your phone settings without losing access to the app.

Fee payment opens the school's payment website in your browser. The payment provider handles payment information under its own policy; the mobile app does not collect card details. Network and security logs may be processed to maintain and protect the service.

Account deletion and retention

You can delete your private SmartCampus account from Profile or the account-deletion page. After password verification, the active account, private school links, sessions and associated push registrations and delivery metadata are removed. School-issued accounts and school-managed records are separate; deleting the app account does not cancel enrollment, fees or submitted school requests.

Information is retained for as long as needed to operate the platform, maintain security, restore service, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary by record type. Data may then be deleted, anonymized, or securely archived as applicable.

School-managed records remain under the applicable school's documented requirements and legal retention obligations. Requests about school-managed records should normally be directed to the relevant school first; we will assist with requests for which we are responsible, subject to identity verification and lawful exceptions.

Files exported or copied to other apps remain under your control. Other devices may retain previously downloaded content until it is removed from those devices. Contact us for questions about access, correction or deletion of personal information; school-record requests may also require coordination with the school.

Who the app is for

This release is for parents and guardians, not for children to create their own accounts. Only verified parent-school connections give access to student information.
